Promotions Overview

Promotions let you offer your clients a deal at the till: a percentage or dollar amount off, a set price, a bigger discount the more they spend, buy one get one, a refer-a-friend reward or a mix and match bundle. Once a promotion is Active it either applies by itself when a qualifying item is added to a sale, or staff apply it from the Apply Promotions dialog on the Sales screen.

This article shows you where promotions live in Settings, what the different types do, and the settings that every type of promotion shares. There is a separate article for each type and one on applying promotions to a sale.

Where to find Promotions

  1. Click Settings in the left menu.
  2. Under Business Details, find the Promotions section.

  1. Click the type of promotion you want to work with, or All Promotions to see every promotion you have created.

The types of promotion

| Menu item | What it does | Example | |---|---|---| | Discount (% or $ off) | Takes a percentage or a fixed dollar amount off each qualifying item. | 10% off all hair services | | Set Price Per Item | Sells every qualifying item at one set price instead of its normal price. | Any beard oil for $25 | | Spend Tiers | The percentage off steps up as the client spends more on qualifying items. | 10% off over $100, 15% over $150, 20% over $200 | | Buy One Get One | Buying a trigger product earns a reward product free or at a discount. | Buy 2 beard balms, get a beard wash free | | Referral Rewards | A refer-a-friend promotion. The referred client presents a code and gets a discount, and the referring client earns a reward. | 10% off for the friend and 10% off for the referrer | | Mix & Match Bundle | The client picks any number of items from a list and pays one bundle price. | Any 3 beard care products for $65 |

Manage Promotions and Discounts (Legacy) is the older promotions screen. It only appears if your business has promotions set up there, and it continues to work alongside the new promotions.

The All Promotions list

All Promotions lists every promotion of every type, with its type, status and dates underneath the name. Type a name in the search box to find a promotion, or click Filter to show archived promotions. Click a promotion to open it; it opens on the screen for its type.

Each type's own screen (for example Discount (% or $ off)) lists just the promotions of that type and has the Add New button for creating one.

Settings every promotion has

Whichever type you choose, the promotion screen has the same sections above and below the deal itself.

Promotion Details

Promotion Name is what staff see in the Apply Promotions dialog and what prints against the item on the sale. Description is shown to staff in the dialog so they know what the deal is. Status controls whether the promotion is live:

  • Draft - you are still setting it up. It will not apply to sales.
  • Active - the promotion is live and will apply to sales.
  • Paused - temporarily switched off. Set it back to Active when you want it to run again.
  • Archived - finished with. Archived promotions are hidden from the lists unless you filter for them.

Who Qualifies

  • New Clients Only - tick this to limit the promotion to clients who have not bought from you before. The sale must have a client on it for this check to work.
  • Minimum Spend Amount - the qualifying items on the sale must add up to at least this amount.
  • Minimum Quantity - the sale must have at least this many qualifying items.
  • Labels - tick one or more client labels to restrict the promotion to clients with those labels. Leave them all unticked to apply to every client.

Applies To

Choose the Services and Products the promotion applies to by clicking items in the left hand list to move them to the right. Only these items are discounted. Leave All Staff ticked to apply the promotion no matter who serves the client, or untick it and tick the staff members the client must book with.

Buy One Get One promotions do not have the service and product lists, because the deal is defined by the trigger and reward products you choose.

Locations

Location Scope is All Locations by default. Choose Franchise and pick a franchise to run the promotion at all of that franchise's locations, or Specific Locations and pick the locations yourself.

Available Days & Times

Start Date is required. Leave End Date blank for an open-ended promotion. Leave All Days ticked, or untick it and tick the days of the week the promotion runs. Set a Time Window Start and Time Window End to limit it to part of the day, for example a quiet weekday morning.

Redemption

Redemption Mode decides how the promotion gets onto a sale:

  • Automatic - applies by itself as soon as a qualifying item is added to the sale.
  • Manual - only applies when staff pick it in the Apply Promotions dialog and click OK.
  • Code Required - only applies when the client gives staff one of the promotion's codes.

When you choose Code Required, enter your codes in Promo Codes (one per line). Codes are not case sensitive. You can also enter a number in Generate Batch Count and You'reOnTime will create that many unique single-use codes for you when you save. A Code Required promotion must have at least one active code before it can be set to Active.

Limits

  • Total Redemption Limit - the promotion stops applying once it has been redeemed this many times across all clients.
  • Per-Client Redemption Limit - each client can redeem it this many times.
  • Once Per Sale - apply the promotion to one bundle or group per sale, even if the client qualifies for more.

How promotions behave on a sale

Only one promotion can discount an item. If two promotions qualify for the same item, the one that gives the client the biggest saving wins. Items that already have a discount typed in by hand, a loyalty discount, a prepaid package or a legacy promotion are left alone.
